Role

The Executive Coordinator serves as the centralized logistical and administrative engine for TVC’s Executive Directors. Operating with high capacity, discretion, and proactive execution, this role manages time, travel, expenses, and downline hospitality to safeguard strategic margin for executive leadership. By serving as the operational execution bridge between Executive Directors and departmental support teams, the Executive Coordinator ensures organizational rhythms align with Lead Pastors’ Office standards and TVC’s strategic goals.

Responsibilities

  • Calendar Execution: Execute comprehensive calendar management for Executive Directors in alignment with Lead Pastors’ Office standards.
  • Travel Coordination: Manage all travel logistics for Executive Directors, ensuring travel rhythms support organizational goals and executive productivity.
  • Expense Management: Proactively manage expenses for Executive Directors by organizing required documentation, cross-referencing calendar entries to determine business purposes, and accurately recording data within the expense reporting system. Maintain continuous workflow throughout the month to ensure strict adherence to all Finance Department deadlines.
  • Downline Hospitality: Coordinate downline hospitality, meeting environments, catering, and operational details for division meetings, staff gatherings, and Exec-led initiatives.
  • Tactical Liaison: Act as the primary operational bridge between Executive Directors and departmental Ministry Assistants to streamline task execution and maintain momentum.

Qualifications and Requirements

  • Agree with The Village Church’s Expectations of Membership, Statement of Faith and Theological Distinctives and commit to exhibit a lifestyle that is consistent with the same.
  • Demonstrate active alignment with TVC’s core values: Healthy (Whole and Holy), Humble (“We” before “Me”), and Hustle (Ambition for the Mission).
  • 3+ years of experience providing high-capacity administrative, administrative coordination, or executive support in a fast-paced environment.
  • Proven ability to manage complex calendars, travel arrangements, and expense tracking across multiple senior leaders with exceptional attention to detail and composure under competing priorities.
  • Strong proficiency across Google Workspace (including Gmail, Google Calendar, Google Docs, and Gemini), project management tools (Asana), and ChMS platforms (Rock RMS).
  • High relational capacity, emotional maturity, and sound judgment, with a demonstrated ability to maintain strict confidentiality and navigate organizational dynamics with grace.
  • Proactive problem-solver with strong organizational and verbal/written communication skills who thrives in a collaborative, team-oriented culture.
